Metadata Edits Workflows

The following are edit workflows for updating picture content metadata. 


    User story 1a: Picture kill workflow

    As an editor I want to kill a single archive picture so that I can ensure we are legally compliant

  1. Edit record

  2. Update field “Edit Status” with edstat: D

  3. Click on shared link and remove “Editorial Low”

  4. Please note: The red cross will take a few moments to appear in Imagen DAM after you have updated the edit status and refreshed the page. This is the time it takes for Content Engine to return the updated picture with the cross applied. 


    User story 1b: Picture kill workflow - BULK

    As an editor I want to kill all the pictures taken by a photographer so that I can ensure we are legally compliant

  1. Either select the results one by one by checking the tick box against each or select all by checking the icon highlighted right.

  2. Select the pen icon in top nav to batch edit the selected items. Please only edit 100 at a time, or max 1000 if that is the total amount.

  3. Update field “Edit Status” with edstat: D

  4. Click on shared link and remove “Editorial Low”

  5. Please note: The red cross will take a few moments to appear in Imagen DAM after you have updated the edit status and refreshed the page. This is the time it takes for Content Engine to return the updated picture with the cross applied. 


    User story 2a: Picture un-kill workflow

    As an editor I want to un-kill a single archive picture so that it can be accessed by customers

  1. Edit record

  2. Update field “Edit Status” with edstat: U

  3. Click on shared link and add “Editorial Low”

  4. Please note: The red cross will take a few moments to disappear in Imagen DAM after you have updated the edit status. This is the time it takes for Content Engine to return the updated picture without the cross applied. You will need to refresh the page.  


    User story 2b: Picture un-kill workflow - BULK

    As an editor I want to unkill multiple pictures so that they can be accessed by customers

  1. Either select the results one by one by checking the tick box against each or select all by checking the icon highlighted right.

  2. Select the pen icon in top nav to batch edit the selected items. Please only edit 100 at a time, or max 1000 if that is the total amount.

  3. Update field “Edit Status” with edstat: U

  4. Click on shared link and add “Editorial Low”

  5. Please note: The red cross will take a few moments to disappear in Imagen DAM after you have updated the edit status. You will need to refresh the page.  


    User story 3a: Caption Correction

    As an editor I want to correct the caption of a picture so that it is accurate

  1. Edit record

  2. Update field “Caption

  3. Update field “Edit Status” with edstat: U


  4. Please note: Captions vary between assets, so bulk edits are not possible.  


    User story 4: xcode / Byline Correction

    As an editor I want to correct the byline / xcode of a picture so that it is accurate

  1. Edit record

  2. Update field “Byline and Xcode

  3. You may also need to update the byline in the caption field. Please note, you will always need to make caption changes individually, not in bulk.

  4. Update field “Edit Status” with edstat: C


    User story 5: Time Created Correction

    As an editor I want to correct the date / time created of a picture so that it is accurate

  1. Edit record

  2. Update field “Content Created

  3. Update field “Edit Status” with edstat: C


    User story 5: Restriction Correction

    As an editor I want to correct the restriction pictures so that it is accurate

  1. Edit record

  2. Update field “Caption”
    Please note, you will always need to make caption changes individually, not in bulk.

  3. Update field “Edit Status” with edstat: C


    User story 6: Add or remove supp cat codes

    As a content operations specialist I want to add or remove supp cat codes from a picture so that it can be more easily discovered by customers.

  1. Edit record

  2. Update field “Supp Cat Codes & Topic Codes”

  3. Please note: This edits the XML file value which will be mapped back to the JPG metadata. You will need to include / remove the prefix « N2: » and comma separated.

    User story 7: Control content visibility

    As a chief of photography, I want to prevent most users from seeing or editing killed pictures so that I can control the legal risk of them being used or redistributed.

    We have two levels of access to the Imagen DAM: High and low.
